Our pricing is based on hourly bill rates that include the safety pro’s salary, all benefits, payroll burden, insurance, agency fee, and project travel/per diem where applicable. There are no hidden surcharges. Typical bill rates by role:

  • Site Safety Manager (mid-level): $85-$125 per hour

Why a Detailed Quote Saves Both Sides Time

The more specific the project information we receive, the more accurate the rate we can quote, and the faster we can mobilize. Vague requests (need a safety person, ASAP) require us to come back with clarifying questions before we can present candidates, which adds 24 to 48 hours to the timeline.

Specific requests (need an EM 385 SSHO for a 6-month USACE Levee project in Memphis, Monday-Saturday 10-hour days, per diem provided) let us pull qualified candidates from the bench immediately and have a short list to the client within the same business day.

If you do not have all the details (scope is still being defined, the prime contractor has not finalized requirements, the contract type has not been awarded yet), that is fine. Send what you have and we will work through the gaps on a scoping call. We have done enough of these engagements to recognize what information is missing and ask the right clarifying questions, which is faster than asking the client to fill out a long form before any conversation happens.

How Safety Staffing Quotes Differ From Regular Staffing Quotes

Regular staffing agencies often quote a single bill rate that covers wages, taxes, insurance, and margin without breaking out the components. Safety staffing requires more line-item transparency because the insurance posture, the credential verification work, the documentation overhead, and the specific certifications required all affect cost. A CHST placement on a metro commercial high-rise is priced differently from a CSP placement on a federal courthouse construction, even if the bill rate looks superficially similar.

Our quotes break out W-2 wage, employer-side taxes (FICA, FUTA, SUTA, workers comp by state), insurance allocation (general liability, professional liability), credential verification cost, project-specific costs (per diem, travel, lodging, project orientation time), and the margin. The breakout matters because federal contracting officers and prime contractor safety leads sometimes ask for it, and because it makes apples-to-apples comparison with other agencies possible.

Many agencies will not break out their pricing because doing so reveals that their margin is much higher than the insurance and verification work justifies.

What Happens After You Approve a Quote

Once a quote is approved, we present a candidate short list within 24 to 48 hours for most placements (longer for highly specialized roles or unusual geographic constraints). The client interviews directly. We do not gatekeep the candidate relationship through an account manager. Once a candidate is selected, we handle W-2 onboarding paperwork, confirm current physical and drug screen status (or schedule fresh ones where required), complete project-specific orientations, issue certificates of insurance with the additional insured and waiver-of-subrogation endorsements the project requires, and confirm mobilization logistics (travel, lodging, vehicle, PPE, equipment).

For most placements the candidate is on site within 7 to 10 business days from quote approval. For 48-hour mobilizations (emergency replacements, urgent federal requirements, sudden project starts), the candidate is on site within 48 hours from initial contact assuming the credential package matches the requirement. The 48-hour timeline depends on the candidate already being on the vetted bench with current credentials.

Why We Do Not Publish a Rate Sheet

Some staffing clients ask for a published rate sheet so they can compare agencies quickly. We have considered publishing one and decided against it for a specific reason: any rate sheet detailed enough to be useful would either undersell complex placements (and force us to come back later and adjust pricing, which damages trust) or overcharge simple placements (and lose us business we should have won).

Safety staffing rates depend on so many project-specific variables (geographic cost-of-living, contract type, duration, schedule, credential combination, project-specific orientation requirements, per diem and travel arrangements, prime contractor insurance requirements) that a published number would mislead more than it would help.

What we will commit to in writing on the scoping call: a specific bill rate range based on your specific requirements, broken out into components, with assumptions clearly stated. If any of the assumptions change (the project scope expands, the credential requirements shift, the schedule changes), we will quote the change explicitly rather than absorbing it silently into a different rate. That transparency is the point.

Confidentiality and How We Handle Sensitive Project Information

Quote conversations frequently touch on sensitive project information: contract values, prime contractor relationships, internal staffing challenges, project schedule pressures, and sometimes information about incidents or near-misses that prompted the staffing request. All of that stays confidential. We do not share client information with other clients, with industry contacts, or with candidates beyond what the candidate needs to know about the project they will work on.

We do not publish client logos on this site for exactly this reason. The companies we work with do not want their staffing arrangements broadcast, and respecting that is part of how we operate.

If you need a mutual NDA before the scoping conversation, we will sign one. If you need specific information handling commitments (data residency, communication channel restrictions, encrypted email), we will accommodate. The confidentiality posture is built around what the client needs, not what is easiest for us.

Who Actually Handles Your Quote Request

Quote requests go to Patrick directly for technical scoping. There is no junior account manager filter. The person who reads your initial request is the same person who will run the scoping call, identify candidates, and stay involved through the engagement. For administrative coordination (paperwork, scheduling, mobilization logistics) we have additional team support, but the technical assessment and the candidate selection stay with the person who has actually done the work.

That is by design and it is a meaningful difference from how most staffing agencies operate. It also explains why some quote responses come back same-day and others take 24 hours: if a request lands during business hours and the scoping is straightforward, you will hear back fast. If the request lands at 11 PM or involves a complex credential combination, the response comes back the next business day after proper review.

Emergency Requests

When You Need a Quote and a Mobilization at the Same Time

Most quote requests come in during normal business hours with normal timelines. Some do not. If an existing safety person is suddenly unavailable on an active project, if a federal compliance audit just identified a gap that needs to be closed before work resumes, if a prime contractor is requiring an SSHO to be on site before tomorrow morning’s pour, the timeline is different and the process compresses.

Call the main line directly rather than using the contact form. We will run the scoping conversation and pull bench candidates in parallel rather than sequentially. For genuine emergency mobilizations we have routinely had a qualified candidate on site within 24 to 36 hours, sometimes faster when the credential combination matches a candidate who is already nearby.

Emergency mobilization rates are higher than standard placement rates because the candidate is being pulled from existing availability planning, may be traveling on short notice, and the documentation is being expedited. The rate premium is transparent (we break it out in the quote) and there are no hidden surge fees added later. If the emergency turns into an extended engagement, the rate steps down to the standard placement rate once the original mobilization period ends.

That structure is fair to both sides and avoids the trap of locking a client into emergency pricing for the full duration just because the engagement started fast.

Comparing Agencies

If You Are Comparing Quotes From Multiple Agencies

Comparing safety staffing quotes from multiple agencies is harder than it looks because the underlying scope of work is often different between quotes even when the candidate role title is the same. One agency may quote a 1099 contractor rate while another quotes a W-2 employee rate (the liability picture is different). One may include insurance certificates with the required endorsements at no extra charge while another bills for COI issuance.

One may quote a published rate with no scoping conversation while another quotes a specific rate after talking through the requirements. Apples-to-apples comparison requires asking each agency the same set of clarifying questions before lining up the numbers.

The questions worth asking: Is this a W-2 employee or a 1099 contractor placement? What insurance coverage is included, with what limits, and which endorsements are standard versus extra charge? Is the candidate already verified or will verification happen after I accept the placement? What is the actual mobilization timeline (not the marketing claim)? What credential evidence will be provided to me before the candidate arrives on site?

What is the replacement policy if the candidate does not work out in the first two weeks? What happens to the rate if the project extends beyond the initial quote period? Those answers tell you more about the agency than any marketing pitch ever will.

No-Pressure

No High-Pressure Follow-Up After a Quote

Once a quote is sent, the ball is in your court. We will follow up once about a week later to ask whether the project is still active and whether anything has changed in the scope. After that, you will not hear from us again unless you reach out. We do not have a sales pipeline operations team running drip campaigns or chasing decisions, and we do not assign quote requests to closers who are incentivized to push for signatures.

If the project gets put on hold, awarded to another agency, or canceled, that is fine. The quote stays on file for 90 days and we can pick up where the conversation left off if circumstances change.

That posture is unusual in the staffing industry and we are aware of it. It costs us short-term close rates and earns long-term trust. The clients who do come back come back for the right reasons, and the engagements that follow tend to be the multi-year ones that justify the investment we make in vetting and bench maintenance.
